Production: orders, calculator, price list and reference projects

«Production» is one of the three directions of AURA; you choose it with the switcher next to the logo. The header has three sections, «Orders», «Products» and «Calculator», and on the left are «Price list and norms», «Reference projects», «Materials in stock» and «Documents». A production order is created from a client brief without a project with visualizations, or sent from a project with the «Send to production» button. The order page is the «Overview» and four stages: «Count», «Agree with the client», «Prepare for the workshop» and «Installation and results». An order has a number, a stage on the «By stage» board, an assignee and a payment schedule, and the workshop and installers can work without prices.

How to use it

  1. Choose «Production» in the switcher next to the logo (on a phone, tap the direction button at the top and pick it in the sheet). The header has three sections: «My orders», «Products» and «Calculator». The column on the left starts with the «New order» button, then «My orders», «Price list and norms», «Reference projects», «Materials in stock» and «Documents». From «Price list and norms» or «Materials in stock», the «My orders» line leads back to the orders. A phone has no column: above the page there is the «Section» select with all the sections, and its last item is «+ New order». «My orders» opens first.
  2. Under the «My orders» heading is the line «How an order goes»: «Order», «Price list and norms», «Materials», «Products», «Calculator» and «Estimate from references and drawings», each button opens its own section. Below are the workshop's orders as cards: number, stage, title, customer, installation date, venue, client total and cost from the estimate, and the «Open the order» button on the right. Above the list is a row of tools: «List» / «By stage», «In progress» / «Archive» / «Trash», the «Find an order, client or venue» field and the «Filters» button.
  3. Click «Open the order» or the order's name. The order's «Overview» opens: at the top are the title, the number and the stage, and under them one row with «Overview», «1 Count», «2 Agree with the client», «3 Prepare for the workshop» and «4 Installation and results». How it works is described below, in the section about the order page.
  4. The «All orders» link above the name takes you back to the list.

The order page: «Overview» and four stages

An order opens on its «Overview». Under the title is one row: «Overview» and four stages in the order of the work. On a phone the row has numbers instead of names, and under it a line says, for example, «Stage 1 of 4: Count».

A stage page holds the cards of its tools in the order of the work. Each card has one button and one line about the order, for example «Calculations: 2» or «The estimate is empty so far». The card marked «Next up» is the first tool the order has not used yet, and the «Next: …» button at the bottom leads to the next stage.

  1. «Count»: «Calculator», «Estimate» and «Installation and logistics».
  2. «Agree with the client»: «Quote».
  3. «Prepare for the workshop»: «Drawings», «Printing», «3D parts», «Workshop task» and «Purchasing».
  4. «Installation and results»: «Installation crew» (sheets for the crew), «Actual» and «Order stock».
  5. Click the button of a card: the tool opens on the whole page, as before, with «Back to the stage …» above it. The row of stages stays at the top, and the stage of the tool is highlighted.
  • The «Overview» starts with the «What's next» card: one action by the state of the order, for example «The estimate is empty: calculate the order», «The estimate is ready: send the quote to the client», «The quote is with the client: waiting for the answer» or «The client approved the quote: hand the order over to the workshop». Below are the blocks «Order» (customer, installation, event, venue, workshop handover, assignee, client contact and the stage history), «Money» (client price, cost, estimate rows and versions, and the payment schedule), «Order team», «Order files» and «Visual project».
  • A stage is shown in the row only if it has a tool you may open. A member without prices sees the workshop task in «What's next» instead of the estimate.
  • The old addresses of the order tabs open the same tool and highlight its stage, so links from emails and bookmarks keep working.
  • On a phone the main button (the «What's next» card on the «Overview» or the first «Next up» card on a stage) stands at the bottom of the screen.

A new order without a project

  1. In «Orders», click «New order» (or «Create» → «Production order» in the header).
  2. Fill in the «Order title». The «Customer», «Installation date» and «Venue or address» can be entered now or later. Click «Create order».
  3. The order's «Overview» opens. In the «Order files» block (it is collapsed: click its title), upload the brief, PDFs with sizes and images: the «Count what can be counted» helper in the estimate reads them.
  4. The «Edit» button in the «Order» block opens the «Edit the order» window: the name, customer, installation date, event date, venue, comment, «Workshop handover», «Assignee» and the client contact. The «Save» button saves everything at once.
  • An order does not need a project with visualizations and does not appear in «Projects», on the «Home» page or in the project steps. The search in the «Create» window finds it in the «Production orders» group.

Studio onboarding: five steps to the first quote

  1. Above the «Orders» list is the «Studio onboarding» strip: «Steps 1 of 5» and a progress bar. The «Continue» button opens the five steps under the strip, and «Collapse» closes them. A studio with no orders and no step done sees them open at once. Each step is ticked by itself when the job is done.
  2. «Load your price list»: the «Upload price list» button opens the price list import on the AURA template, as in «Price list and norms» → «Materials». The new prices await approval.
  3. «Copy the starter products»: the «Copy the starter products» button makes the platform's products (bar counter, podium, arch, backdrops, circle, steps, panel, banner and quick estimate rates) your studio's products. They appear in the «Product library» of the decor calculator and count by your prices, and by AURA's examples where you have none. A product that fails its check stays a draft. The built-in kinds of the decor calculator and the calculators of estimate rows are not copied: they work without a copy. Pressing again doubles nothing, and if a product could not be copied, the block names it and the others are copied anyway. The step is ticked once the studio has at least one product of its own, copied or made by you (copies of the built-in decor calculator kinds and of quick estimate rates do not count). While some starter products are not in the studio yet, the block shows how many and the button stays, even when the step is already ticked.
  4. «Fill in the quote details»: the «Fill in the details» button opens «Quote details and terms»: legal entity, tax number, bank, payment schedule and how long the quote is valid.
  5. «Create your first order»: this step has no button of its own, click «New order» in the list header.
  6. «Send your first quote»: in the order, open the «Agree with the client» stage and click «Send quote» on the «Quote» card. The step has a «How to send a quote» link.
  • At the top of the open steps stands «Open the training order»: an example order of a bar counter that the «Step N of 6» strip walks from the brief to the actuals. It does not count in the onboarding steps. More in the guide «Your first order in 10 minutes».
  • At the top of the opened steps you see which day of 7 it is and by which date the goal is to send the first quote. Days count from the day the studio got its first pilot key. A studio that works without an invitation has no days, only the steps.
  • A step without the module it needs is marked «Needs the … module»: ask the AURA team for an invitation.
  • «Hide» hides the strip in this browser. When all five steps are done, the block disappears by itself.
  • An editor of someone else's orders does not see the block: the steps belong to the studio that owns the orders.
  • Only an AURA administrator sees how the pilot studios are doing.

Sending a project to production

  1. Open a project and click «⋯» next to its name, then «Send to production». The same line is in the «⋯» menu of the project estimate.
  2. In the «Send to production» window, click «Send to production». If you need the project's estimate rows, first tick «Take the project's estimate rows into the order».
  3. A new order opens. It already has the project's name, event date, venue and client, and the «Visual project» block has a link to the project and its finished visualizations as references, the main ones first.
  4. All of a project's orders are listed in the same «Send to production» window. One project can be sent to production as several orders.
  • Project files, the board, plans and 3D models are not copied into the order; they stay in the project. The «Open the floor plan» link in the «Drawings» tool leads to that project's plans.
  • Visualizations passed into the order are shown by the «Printing» tool in the «Project images» list as mockup sources, as long as they remain in the project.
  • The order belongs to the project owner: their norms and prices are used. Project editors become order editors. Viewers, commenters and the project's client do not see the order.

Projects where production was already calculated

If a project already has calculations, production estimate versions, drawings, print mockups, 3D parts or helper runs, it appears in «Orders» with the mark «from the project «…»». It opens in the same order workspace; nothing is copied and nothing is lost.

In such a project, the production estimate and the estimate in the project's «Documents» section still share the same rows. A new order has its own estimate: edits to it do not change the project estimate.

Old links to the project's «Production» step and to its «Estimate», «Decor calculator», «Drawings», «Printing» and «3D parts» tabs open the same tool in the order, and its stage is highlighted in the row of stages.

Brief, team and order archive

  • The «Order files» block accepts PDFs, images, XLSX, DOCX and other project documents. Only the owner and the order editors see them.
  • In the «Order team», the owner invites editors only, because the order contains the studio's cost. Invitations work as in a project, with a link.
  • In the «⋯» menu to the right of the order name («Order actions»), the owner sends the order away with «Archive» or «Move to trash»; before the trash AURA asks «Delete the order?». It can be brought back with the «Restore» button in the «Archive» or «Trash» list.

How to invite a person to an order

  1. Open your order. Under the title it says whose order it is and how many people work in it, and next to it is the «Invite» button. Another way: in «Orders» click «Invite to an order» and choose the order in the window.
  2. Type the person's email and, if needed, the profession. Clear «Sees prices and costs» for the workshop or the installers.
  3. If the order was made from a project with visualizations (by «Send to production»), the window has «Role in the project «…»». «Commenter» by default: the person sees the project's visualizations and writes comments. You can choose «Editor», «View» or «No access to the project». Access to the order does not depend on it: in the order they are an editor, with or without prices.
  4. Click «Create invitation», then «Copy link» and send the link to the person. The invitation is valid for 7 days.
  5. Once the person accepts it, they appear in the «Order team» on the «Overview», and the order appears in their «Orders».
  • This is the team of one order, not of the whole studio: the person has to be invited to other orders separately. Only editors are invited to an order.
  • Only the owner of the order can invite. The others see the line with the owner in the head of the order and on its card in the list.
  • If in the list of orders it is the visualization project itself (marked «from a project»), its team is the project's team: the invited person becomes an editor of the project and sees the visualizations. A separate role in the project exists only for an order handed over from a project.
  • If the person is already a member of the project, their role in the project does not change, even if the invitation names another one.

Where the calculator, the price list and the reference projects are now

  • The «Calculator» without an order, «Price list and norms» (formerly «Norms and materials») and «Reference projects» are gathered in «Production»: the calculator in the header, the others in the column on the left. Old links open them in the new place.
  • A calculator result without an order goes into an order with the «To the order estimate» button. A reference project is checked against the calculations of the chosen order.
  • The section is visible if at least one production tool is open to you: the estimate, drawings, printing or 3D parts. Each tool of an order follows its own access: a stage where you have no tool is not shown in the row of stages.
  • If directions are on for you, «Production» is chosen with the switcher next to the logo, not with a header link. The Production header has «My orders», «Products» and «Calculator», and the left side has the «New order» button and the lines «My orders», «Price list and norms», «Reference projects», «Materials in stock» and «Documents» (this line opens the «Documents» page). The «Decor calculator» is then simply called «Calculator», and so is the order's tool. On a phone the bottom bar has «Orders», «Products», «Create», «Calculation» (this is the «Calculator») and «More».

Orders in the mobile app

In the mobile app, open «Production» in the studio library. The section is available with the production beta key. In the list you can find an order, create a new one, and open the archive or the trash.

In the order passport, enter the name, client, venue, event date, installation date and technical brief. Dates are picked with the phone's calendar. Save your changes before moving on to the estimate. If only part of the data was saved, the app offers to load the current state.

From an order you open the estimate, files and team. An existing visual project can be shown in production without copying. Its installation date is not changed here. The owner can move a production order to the archive or the trash and restore it from the list.

Internal production data is available to the owner and to editors with the required beta access. An invitation to selected visualizations only does not open this access.

Handing over from a mobile project

  1. In the overview of a visual project, open «Send to production». You need full editing rights and access to the production tools.
  2. Check the linked orders, set a name and choose whether to take over the saved estimate lines.
  3. Confirm the creation. An independent order opens, with the finished frames as references and with full project editors. The original project is kept.
  4. If the reply was lost, refresh the list of linked orders and find the created one. Creating one more order needs a separate confirmation.
  • Files and schedule stay in the original project. The handover creates an internal AURA order and does not send a request to a supplier.

The «By stage» view, the number and the stages of an order

  1. Above the order list, switch «List» / «By stage». In the «By stage» view, orders sit in stage columns: «Calculation», «Quote sent», «Approved», «In progress», «Installation», «Closed» and «Lost». In each column the nearest installation comes first. The «In progress» / «Archive» / «Trash» switch is hidden in this view, and on a phone the columns scroll sideways one at a time.
  2. Drag a card to another column or pick the stage in the list on the card (easier on a phone or with a keyboard). When you move an order to «Lost», AURA asks for the reason.
  3. A column shows the first 30 orders and their total number. The «Show more» button loads the next ones. The order list also loads 50 at a time.
  4. The «Filters» button above the list opens «Project date», and in the pilot with the board «Assignee» too (as a sheet on a phone). «Project date» is the order's installation date, or the event date when there is none: the same date the card shows. Choose «Today», «This week», «This month», «Next month», «Pick a date…» for one day or «Pick a period…» for a period «From» and «To» (one of the ends can stay empty). The filters work both in the «By stage» view and in the list. «Reset filters» brings back all orders.
  5. The number and the stage stand in the order header to the right of the name: click the stage and pick another one, it saves at once. The «Assignee», «Workshop handover» and «Client contact» are shown in the «Order» block on the «Overview» and changed with «Edit» and «Save» in the window.
  • The number is given automatically in order within your studio: No. 1, No. 2, No. 3. Orders created earlier got numbers by their creation date. Two orders created at the same time get different numbers.
  • Every stage change is shown on the order's «Overview», in the «Order» block under «Stage history»: who moved the order, when, from which stage to which, and why the order was lost. The date of the last stage change is next to the heading. The last five changes are shown at once, the rest with the «Whole stage history» button.
  • The assignee can be the owner or an editor of the order. On the «Prepare for the workshop» stage, a strip about the deadline stands above the cards, for example «On time for November 3: 21 d. reserve»: it shows whether you will be ready for the installation.
  • The «By stage» view, the stages, the payments and hiding prices are part of professional-level production and are open to everyone since 7 October 2026.
  • The first quote sent moves the order from «Calculation» to «Quote sent», and the order card shows a quote badge: not opened, opened by the client, approved or changes requested. Quotes are sent on the «Agree with the client» stage, in the «Quote» tool.

Payment schedule

  1. On the order's «Overview», in the «Money» block, in the «Payment schedule» part, click «Add». Two 50/50 lines appear at once: «Prepayment» and «After installation».
  2. On each line, choose «How to count»: «Share, %» of the client price in the order's estimate, or «Amount, ₽». Set the «Deadline». You can delete a line or add a new one, up to 12 lines. Click «Save».
  3. When the money arrives, tick the line: it becomes «Paid» with today's date. Below you see «Paid … of …».
  • The shares cannot add up to more than 100%. A share is recounted when the client price in the estimate changes; an amount stays as entered.
  • The order card on the board shows how much has been paid.

Workshop and installers without prices

  1. Invite a workshop employee or an installer to the «Order team» and clear «Sees prices and costs». For someone already invited, click «Change permissions» and clear the same mark.
  2. In the team list, such a member is marked «No prices».
  • A member without prices sees the order, its stage, the brief and files, drawings, printing and 3D parts, and in the «Estimate» tool only the «Order contents»: what to make, how many, the sizes and the description.
  • They do not see prices, costs, markup, totals, the payment schedule or the amount on the board («Prices hidden»). The «Calculator», estimate exports, estimate versions, the «Count what can be counted» helper and the client presentation link are closed to them.
  • The project assistant does not get prices for such a member either and does not name amounts.
  • Everyone who was on the team before sees prices as before. The order owner always sees everything.

The idea board of an order

The order's «Overview» has the «Idea board» card with the «Open board» button: references, sketches and notes for the order on one canvas. An order passed from a project opens that project's board, where the designer's references are. An order without a project has a board of its own.

  • The card is shown when the idea board is on in AURA. A sample order has none.
