Workshop task, purchase and timing
The order tools «Workshop task» and «Purchasing» (the «Prepare for the workshop» stage): a workshop task by work centre with part sizes, the sheet cut (DXF for the machine), paint layers and outsourced work without prices; the purchase for the whole order in whole sheets, bars and rolls with stock subtracted and the minimum batch; the check «are we on time» and mock-up approval by the client by link. Available in beta to everyone, no invitation needed.

How to use it
- Put studio products into the order estimate with «Add to order estimate» in the decor calculator. The task and the purchase are built from the estimate, nothing else to enter.
- Open an order, the «Prepare for the workshop» stage and the «Workshop task» card (the «Hand to the workshop» button). At the top you see which estimate the task is built from: «By the current estimate, not approved» or a saved version, which you can pick in the list next to the buttons.
- Check the products: dimensions, work by centre with part sizes, sheet cut, paint layers, outsourced work with the «Hand over by» date, and the «Are we on time» block.
- If an item has a mock-up or drawing for the client, press «Mock-up for approval», add the file and send the link. An item with a mock-up goes to the workshop only after approval.
- Press «Hand to the workshop». AURA remembers what was handed over and when. If the estimate or the mock-ups change later, the task is marked outdated.
- Open the «Purchasing» card on the same stage (the «Open purchasing» button): what to buy for the whole order by supplier. Enter «In stock» what you already have and press «Save the stock». Download Excel or PDF for procurement.
Task by work centre
- The work of each product is split by the studio's work centres: metal, carpentry, print, paint and others from the «Studio work centres» window («Works and rates» tab in «Price list and norms»). Sheet parts show sizes and quantity, for example «Front 3000×1100 × 1, Side 600×1100 × 2».
- Quantities are for the whole item with the estimate quantity: two counters give 64.26 m of profile, not 32.13.
- Paint layers are a separate block with consumption and drying time. Outsourced work (for example powder coating) shows the «Hand over by» date: later than that you will not make the hand-over.
- If the product was counted from a drawing in «Drawings», the task links to it. If a venue photo is bound to the calculation, the task shows the frame.
- Estimate rows that are not products are listed under «Other items» with sizes and description.
- A task made from the approved version of the quote makes the variant and the options the client chose on the quote's page. An option of a studio product from its template (for example lighting) goes into the product's work by centre and into the purchase, and the row shows «Options: …». Your own option without a calculation is shown at the row, make it by its description.
Sheet cut and files for the machine
- The cut is shown sheet by sheet: which parts went where, with the kerf from the material card (4 mm by default). It is the same cut the product was counted with.
- «Download DXF» gives a cut file for CNC: layer CUT with the part outlines, ENGRAVE with names and sizes, REFERENCE_SHEET with the sheet. Parts are rectangles as in the product template: notches, for example in a shelf around a post, are added by the workshop.
- «Download STEP of the parts» appears only when the CAD module is installed on the server. Without it there is no button, everything else works.
Purchase for the whole order
- The materials of all the order's products are summed by code and rounded once for the whole order: two counters with 32.13 m of profile each are 11 bars of 6 m, not 6 + 6.
- Parts of a sheet material of all products are nested on sheets together. If the cut needs more sheets than the estimate counted by area, the purchase says «The cut needs X more sheets than the estimate»: buy by the cut.
- «In stock» is subtracted from the purchase: enter how many sheets, bars or rolls you already have. The supplier's minimum batch from the material card is respected.
- If a sheet material has a supplier's cutting price, cutting is a separate line. Outsourced work is grouped under «Subcontract» with the «Hand over by» date, materials from stock and rentals under «Not bought».
- If the prepayment is not marked yet in the order's payment schedule, the purchase warns: «Prepayment is not marked: better not to start the purchase».
Are we on time for the installation
- AURA counts from today: the purchase by the longest delivery time, then the work centres in parallel, then painting with drying and outsourced work, then assembly and packing.
- The days of a centre come from «Workshop timing» of this order. If not set, AURA divides the centre's work hours by the working day (8 h by default), at least one day.
- The target is the order's «Workshop hand-over» date, otherwise the day before the installation. If we are late you see «Not on time for November 13: 3 d. behind», just in time is marked «no reserve». Calendar days.
- Delivery times and outsourced work times come from the cards in «Price list and norms». If a material has no delivery time, AURA says how many materials lack it.
Mock-up or drawing approval
- Every item of the task has «Mock-up for approval». Add a PNG, JPG, WEBP or PDF file up to 20 MB: each file is a new version.
- «Send for approval» creates a link and copies it. The client opens it without signing in, sees the file and approves it with a name or asks for changes with a comment. The page says that the name, the time and the comment are kept. The client's network address is not stored, only its irreversible fingerprint is kept.
- An item with a mock-up goes to the workshop only when its current version is approved, the task says «Mock-up v2 approved: Olga». A new version waits for approval again, the old link no longer takes decisions. «Withdraw» closes the link.
- If the client approved by phone, enter their name and press «Mark as approved»: the task notes that the studio marked the approval.
- The option «Every item needs an approved mock-up» requires one for every item. Without it an item without a mock-up goes to the workshop as usual.
Workshop without prices
- The workshop task has no prices or cost. A member the owner hid prices from sees the whole task, and the purchase without purchase prices and sums.
- Purchase prices come from the studio's material cards: price per sheet, bar, roll or pack.
Workshop marks from a phone
- In the «Workshop task» tool, in the «Marks from a phone» block, press «Show QR». The same QR is printed at the top right of the workshop task PDF, and the task's Excel file contains its address.
- An order participant who can comment or edit points a phone camera at the QR, signs in to AURA with their own account and marks work centre hours or material used. The task item and the date are chosen there too.
- For a worker without an account, create a personal link: enter who it is, the work centre and how many days it is valid (14 by default, at most 90), press «Create link» and «Copy link».
- A personal link opens on one phone only: the first one where the worker pressed «It's me, open on this phone». It does not work on another phone. If the worker changes phones, press «Revoke» and create a new one.
- Marks arrive in the «Workshop marks» block of the «Actual» tool. The phone shows no money.
Limits of the marks
- At most 60 marks a day by one link or one participant, at most 3000 per order. At most 24 hours a day for one person.
- The date of a mark is no later than tomorrow and no earlier than a month ago. The item and the material can only be chosen from the task, the work centre only from the studio's list.
- A worker can delete their own new mark within 12 hours. A mark the studio has already accepted or rejected cannot be deleted by the worker.
- «Replace QR» switches the old QR off: printed tasks with it stop working, so print the task again.
- A person without access to the order who opens the QR sees neither the order nor the task.
Beta: open to everyone
- The «Workshop task» and «Purchasing» tools are part of professional-level production. Since 7 October 2026 they are open to everyone, no invitation needed.
- For now stock is entered in the order's purchase itself. A studio-wide stock list comes in the next pilot stage.
- Marks from a phone are part of the same module: the QR and personal links work while the module is open to the studio owner.
- Found a problem, press «Beta feedback».
Frequently asked questions
- Why does the cut need more sheets than the estimate? The estimate may count the material by area with waste, and parts do not always fit a sheet without leftovers. For example, the cladding of a 3000×1100×600 counter made of two front halves does not fit one 2800×2070 sheet, it needs two. The purchase buys by the cut.
- Why is a product missing from the task? It has a mock-up whose current version is not approved, or «Every item needs an approved mock-up» is on. Such items are listed under «Waiting for mock-up approval».
- What does «task outdated» mean? After «Hand to the workshop» the estimate, a quantity or an approved mock-up changed. Check the task and hand it over again.
- How is «Mock-up for approval» different from «Review» of visualizations? «Review» is choosing visualization variants in a project, a mock-up for approval is a file of an estimate item the client confirms before production.
