Order installation, logistics and overheads

The «Installation and logistics» tool of a production order: the order conditions (floor and lift, access window, night, urgency, height works, teardown), installation by shifts from the estimate's products with factors, trucks picked by the volume, weight and size of the sections, a check of the carry-in path, fees by the studio's rules, overheads, the «Nothing forgotten?» check, and load and installation sheets without prices. Available in beta to everyone, no invitation needed.

How to use it

  1. Put the products into the order estimate: count them in the «Decor calculator» on the «Studio products» tile and press «To the order estimate».
  2. Open an order, the «Count» stage, and click «Calculate the installation» on the «Installation and logistics» card (the sheets for the crew also open from the «Installation crew» card on the «Installation and results» stage). On the left are the order products, the installation, the logistics, the fees and the overheads; on the right, «Order conditions» and «Nothing forgotten?».
  3. Fill in «Order conditions»: floor and lift, access window, night, urgency, height works, teardown, carry-in path. Press «Save the terms», and AURA counts the shifts, the trucks and the reminders again.
  4. Check the installation and logistics rows. Each row shows its formula with the factors, for example «4 people × 2 shifts × 4,000 ₽ ×1.5 night».
  5. In the «To the order estimate» block tick what goes into the estimate and press «To the order estimate». The rows go to the zones «Setup and teardown», «Logistics», «Overheads».
  6. Download the «Load sheet» and the installation sheet for the crew: they have no prices.

Where AURA takes the weight, volume and hours

Each studio product in the estimate brings the outputs of its template: how many people and hours the installation and the teardown need, the weight, the packed volume, the number of sections, the length and height of the largest section. These numbers are multiplied by the quantity of the estimate row.

If a product lacks an output, it is marked in the «Order products» block, and the installation or the trucks are counted without it. Manual estimate rows and decor calculator rows are not part of the shifts and trucks: set their crew and shifts in the conditions.

Order conditions

The conditions are set once per order. «Night montage» multiplies the installation and the logistics by the studio's night factor (×1.5 by default), «Urgent order» multiplies the works and the installation by the urgency factor (×1.3 by default). The factor is shown in the estimate row.

An access window such as 00:00-06:00 shortens the shift: AURA picks a crew that fits the installation into the window. A floor above the first without a freight lift adds carrying up by weight and floors. Height works add a tower, a lift or rope access workers for the installation and teardown shifts.

The conditions are saved whole. If a colleague saved them first, AURA asks you to refresh the page and overwrites nothing.

Installation by shifts

The products' person-hours are divided by the studio's shift (12 hours by default, the access window shortens it). The crew is no smaller than the largest product needs. If you set the crew and the shifts in the conditions, for example 4 installers and 2 shifts, AURA counts by them and warns if they are short.

Teardown in its own shift is counted by the products' teardown hours. Teardown the same night means overtime: the hours past the shift at the hourly rate with the overtime factor. Supervision is counted for every shift, on duty at the event by the hour.

The rates come from «Works and rates» by the codes in the studio's rules: installer, supervision, on duty, tower, lift, rope access, carrying up without a lift, loader, pass. A rate without a price gives a «no price» row with the reason, never zero.

Trucks, trips and loaders

The product sections are packed into the library trucks by volume (the body is filled to the share in the studio's rules, 80% by default), weight and body size. AURA tries the trucks and picks the cheapest set. You can also choose the truck yourself in the conditions.

Every section has to fit the body by size, volume and weight: a heavy section goes in a truck with a suitable payload. A section that no truck takes gives the warning «Section … fits no truck of the library» or «Section … weighs … kg: no truck of the library takes that much». Make the product collapsible or add a larger truck.

Trips are counted there and, if there is a teardown, back. The price of a city trip plus the kilometres beyond those included. Loaders are counted by weight (how much one loader carries is set in the rules), a pass per truck.

AURA packs up to 400 sections one by one. If there are more, the trucks for the rest are counted by their volume and weight, and AURA warns «… sections, more than 400». The order's total volume and weight count every section. Check such a load by hand.

  • Trucks are rows of the «Service» kind in «Works and rates» with the body size, the payload and the trip price. AURA examples: Gazelle van 3 m, Gazelle van 4.2 m, trucks of 5 and 10 t.

Carry-in path

In the order conditions list the narrow places from the truck to the zone: a door, a freight lift (cabin width, height and depth), stairs, a gate, a corridor. AURA checks the longest and highest product section against them and warns, for example: «Section «Bar counter» 2400 mm will not fit the lift «Freight» 2100 mm».

If doors are drawn on the project's floor plan, the «Doors from the hall plan» button adds them to the path with their width. The door height can be set on the plan in the «Opening height · mm» field: it is shown when the «Products and materials» module is open.

Fees by the studio's rules and urgency

In «Order rules» the studio owner adds fees by rule, for example «Installation 12% of the products, minimum 5,000 ₽» or «Delivery 8% of the decor». The percent is of the cost of the chosen rows. The fee goes into the estimate as its own row, with the rule written in its formula.

Urgency adds a row with the surcharge on the products' works and on the estimate's work rows: works × (factor minus 1).

Overheads

Overheads are rows of the «Overheads» kind in «Works and rates»: rubbish removal by container, storage of the client's structures, packing, a measuring visit, a business trip (daily allowance, accommodation, travel, tool transport), fire retardant with its class. Each says what AURA suggests the quantity by: the product volume, the crew and the trip days, one per order, or an area you type yourself.

Tick the overheads you need and correct the quantity. Only the ticked ones go into the estimate; removing the tick removes the row at the next «To the order estimate».

To the order estimate

The «To the order estimate» button puts in the ticked parts: installation, logistics, fees, urgency and overheads. Pressing it again updates the same rows and never doubles them. The title, the zone, the client visibility, the note and a price typed by hand stay.

If the numbers no longer match the estimate after the conditions changed, the part says «Outdated in the estimate». The client price follows the row's markup: the «Installation» or «Logistics» category of the studio markups when the money model is on, otherwise the estimate's markup.

Nothing forgotten?

The «Nothing forgotten?» block is in the «Installation and logistics» tool and in the order «Estimate». It reminds you of what is often forgotten: no installation, teardown or delivery, a night installation without the factor, a product without packing, no storage after the event, a backdrop of 6 m or more without fire retardant, a high ceiling without a tower, a floor without a lift and no carrying up, a section that does not pass the path or fit a truck, more than 400 sections with trucks counted by volume and weight, an installation in the estimate counted with other conditions, no disposal of the decor after the event.

The check only reminds and adds nothing by itself. In «Order rules» you can turn off checks you do not need and add your own reminders: if the estimate has no row with a word, for example «cleaning», AURA reminds you.

Load sheet and installation sheet

The «Load sheet» lists the trucks in order: which products and sections go in each, their size, volume and weight, the truck total, and what did not fit. The installation sheet shows the access window, night, floor and lift, the crew, the teardown, height works, the carry-in path and what goes into each zone.

The sheets have no prices or costs. A member of the order without access to prices, such as the installers, can download them too.

Beta: open to everyone

  • The «Installation and logistics» tool is part of professional-level production. Since 7 October 2026 it is open to everyone, no invitation needed.
  • Rates, trucks and overheads with the «Example» status are AURA's conditional starter prices. Copy them to the studio and set your own.
  • Found a bug? Press «Beta feedback» next to the title.

FAQ

  • How is this different from the «Crew» and «Logistics» calculators of the estimate? They count people × days and trips × rate from the numbers you type. The «Installation and logistics» tool takes the hours, weight and volume from the order products, applies the order conditions and picks the trucks itself.
  • Why does the installation have «no price»? The library has no rate for the code in the studio's rules, or the rate is set per another unit. The reason is written under the row.
  • Why did AURA take two Gazelle vans instead of one big truck? Two vans came out cheaper by trip prices. Choose the truck in the conditions if you need another one.
