Task lists: studio work and project tasks

The «Tasks» icon in the header opens your tasks and the team's by due date. Tasks live in task lists: a project has its own, and the studio's shared tasks are kept apart. The «By status» view lays the cards out in columns, from «To do» to «Ready».

Create a task list

  1. Click the «Tasks» icon in the header (at the top right on a phone): the «Tasks» page opens. The number on the icon shows tasks due today and overdue ones. For the tasks of one project, open the project, its «Preparation» step and the «Tasks» card («Open tasks»): it has only that project's task lists, and a new list is linked to it right away.
  2. If there is no list yet, click «Create» → «Add a task» and write the task: AURA creates the «My tasks» list by itself. Another list is made with «⋯» → «New task list» (people who can edit tasks see this item). Fill in the «Task list name» and a description of the expected work.
  3. In the «Project» field, leave «Shared studio list» for general studio work, or choose a project you can edit. Click «Save».
  4. Add cards with the «+ Task» button at the top of the page or «+ Add» under the column you need, or open «Templates» → «Add a ready plan». Choose a ready plan (wedding, corporate event, setup and teardown) or your own template from «My templates», enter the event date and click «Add the plan to the task list». Due dates are calculated from that date; existing tasks are kept. You can save your own tasks with «Templates» → «Save tasks as a template» and repeat them in the next project.

Your tasks, the project and the view

Above the list it says «My tasks» or «All tasks», as the «Mine» / «All» switch is set. «Mine» keeps the tasks assigned to you, «All» shows all those open to you. On the studio's page «Mine» is chosen, inside a project «All». The «Only mine» button is gone.

In the «Project:» field choose «All projects», «Studio-wide tasks» (tasks without a project) or one project. Inside a project this field is not there: the page already shows its tasks. The «Find a task» box searches the title, the description and the name of the person responsible.

  1. «By status»: four columns, «To do», «In progress», «In review» and «Ready», each with its number of tasks. A card can be dragged to another column, and «+ Add» under a column creates a task right in it. «Ready» shows the three most recently finished, and «Show more» opens the rest. On a tablet the columns come two to a row, on a phone you see one column and the statuses with their numbers switch above it.
  2. «List»: tasks grouped by due date into «Overdue», «Today», «Next 7 days», «Later», «No deadline» and «Ready». The first two groups are expanded; click the heading of another group to open it. If there are no overdue tasks or tasks due today, the first non-empty group opens. The group of a newly added task also opens automatically.
  3. «Calendar»: a month, a week or a day. The article about tasks has the details.
  • The chosen view is remembered in this browser. Until you choose, a computer opens «By status» and a phone opens «List».
  • A card shows the title, the due date in words, the person responsible and the main thing about the task. The status is changed with «⋯» on the card: the «Move to…» line with the name of the column. A click on the card opens the task.

Invite a colleague

  1. The owner opens the list («⋯» → the «List: …» line with its name) and clicks «⋯» → «List settings» → «Invite by email», enters the «Account email» and the role «Editing» or «View».
  2. Click «Create invitation». The email is sent to the address given; you can also copy the link. If the email was not sent, pass the link on yourself.
  3. The recipient opens the link and signs in with the email given. The invitation is valid for 7 days. Once accepted, the task list appears in their «Tasks» section.
  4. To change rights, choose a role next to the member. «Remove» closes a member's access; «Revoke» cancels a pending invitation.
  • You can invite people only with a confirmed account email. If you see «Confirm your e-mail to invite people to your team», open the link from the email or send it again from your profile, in the «Email» card.

A task list and a board are not the same thing

  • A task list is for tasks. A project's «Idea board», with images, sticky notes, frames and generation, is a separate visual canvas for the decor concept; all boards are collected on the «All tools» → «Idea boards» page.
  • Task list rights are independent: linking a list to a project does not invite the project team automatically and does not open the project's other materials to the list's members.
  • An editor works with tasks, a reader views them. The owner manages the members, the settings and deleting the list. To delete a list, open it, click «⋯» → «Delete task list» (or «Delete task list» in the «Task list settings» window), then confirm with «Delete permanently». The list's tasks are deleted with it; «Cancel» changes nothing.
  • The titles «My tasks» and «All tasks» above the list show how the «Mine» / «All» switch is set: see the «Your tasks, the project and the view» section. The «By status», «List» and «Calendar» views show the same tasks; the chosen view is remembered in this browser. Inside a project, the top shows how many days are left until the event.

Settings from the phone

In the mobile app, open «Tasks», the list picker and the settings button next to the name. The name, description, linked project and members' rights are on a separate screen.

The owner creates an invitation for a specific email, chooses editor or view only, checks that the email was sent and, if needed, passes the link through the phone's system menu. Accepting a link is in the task list picker.
