Preparation assistant: get suggestions and create tasks

The project's AI assistant suggests an action plan and questions for the client, and can take into account the project documents you select. Tasks appear in the task list only after you choose and confirm them.

Get suggestions

  1. Check the date and description in the project details. Save the current budget, collect the answers to client briefs and note open questions in the project comments.
  2. Open the project → the «Documents» tab → «Preparation assistant». In «Additional instructions», describe the result you want, for example: «Make a setup plan and show what to check with the venue».
  3. If the assistant should take into account an estimate, a brief or a schedule from a file, select up to five documents in the «Documents for the assistant» block. The list includes XLSX, XLS, CSV, DOCX, PPTX, PDF and TXT from all preparation sections and «General documents»; read the warning about the text being passed on.
  4. Click «Suggest tasks». Read the short summary, the «Needs clarification» block and the suggested cards with descriptions and deadlines relative to the event.

Create the selected tasks

  1. Uncheck suggestions that do not fit. Check the wording and dates: AI can make mistakes, and unknown details need to be confirmed with the client.
  2. In the «Task list» field, choose a list you have edit rights to. If there are no lists available, click «Create a project task list», create it, return to preparation and request suggestions again.
  3. Click «Create selected tasks» and wait for the message with the number of tasks. Then open the task list, check the deadlines, assign people and complete the checklists.

What this assistant takes into account

  • The model receives the project's name, date and description, your instructions, the totals of the saved budget, up to five latest brief responses with the question text, up to twenty latest unresolved project comments and the text of the documents you selected. Long texts are trimmed.
  • Project documents are read only if you selected them before the request: up to five files and up to 12,000 characters of text for all of them together, taken from the beginning of each. Under the answer you can see which document was used fully, partly or did not fit; a document that could not be read within a minute (for example, a very large PDF) is also marked as not fitting. Images and scans without a text layer are not read; studio pages are not passed automatically. If an important condition is not in the data listed, add it to the additional instructions.
  • The text of the selected documents is sent to the AI provider together with the request. Do not select files with passport, bank or other data that must not be passed to third-party services.
  • The preparation assistant is available to the project's owner and editors. Limit: 20 requests in the last 24 hours per user; an attempt is reserved before contacting the AI. This is a separate limit, not the event's money budget.
  • If the AI connection is unavailable, use «Templates» → «Add a ready plan» on the «Tasks» page. An assistant error does not create cards by itself; applying the same suggestion again does not duplicate tasks already created.
  • The «Aura Guide» in the help panel, in «How to use AURA» mode, explains the interface from the knowledge base and does not read project materials; in «Question about this project» mode it answers from the open project's materials for 1 pendant, but does not create tasks. The «Preparation assistant» gets a limited context of the chosen project and creates only confirmed tasks. It does not book services, pay invoices or send invitations.

Project preparation on the phone

In the mobile app, open «Project documents» → «Preparation assistant». Enter your wishes, choose up to five available documents and separately confirm passing their text. Changing the set of documents withdraws this consent.

The price is shown before the launch. The assistant returns a summary, clarifying questions and tasks. No task is selected in advance: tick the ones you need, choose an available list and confirm adding. Task dates are calculated relative to the event.

After a lost connection, the check uses the saved request. The app does not create a new paid request automatically. Repeating the adding sends the earlier set of tasks to the same list and does not create duplicates.

The preparation assistant proposes tasks and applies the selected ones after confirmation. The project assistant only answers questions; the free Aura guide explains the interface.
