Client brief: a questionnaire by link and answers in the project
Create a questionnaire with the questions you need, send the public link to the client and read the answers in the project's «Documents» tab → «Client brief».
Reviewed:
Prepare the questions
- Open the project → the «Documents» tab → «Client brief» and click «New brief». Fill in the «Questionnaire title» and the «Introduction for the client».
- Check the starting questions. Create the missing ones with «Add question»; «Remove question» removes one you do not need.
- In «Answer format», choose «Short answer», «Long answer», «Number», «Single choice», «Multiple choices» or «Date». For choices, list the options, each on a new line.
- Check «Required» if the questionnaire cannot be sent without an answer. Click «Save brief».
Send it and collect the answers
- Click «Publish brief», then «Copy link». The «Open brief» button lets you check the published questionnaire before sending it to the client.
- The client opens the link without signing in to AURA, fills in the questions and clicks «Submit brief». If everything went well, the «Thank you for your answers» screen appears. Until it does, check the required fields or the error message.
- Inside the project, choose the brief and click «View responses». Each response is shown with its date, the number of the published version and the wording of the questions at the time it was sent.
A brief the client sent as a file
- If the client sent a brief in Word, PDF or Excel, open «Client brief» and upload the file to «Section documents».
- Click «Open» to read the document on the page, or «Download» to get the original file. Check the file in the «Preparation assistant» section if the assistant should take its text into account.
- The client using the questionnaire link and the project's readers and commenters do not see uploaded documents. Only the project's owner and editors can open them.
A brief told out loud
- If the client describes the event out loud, record the conversation or upload a voice recorder file in the «Brief from a voice recording» block on the same tab. AURA transcribes the recording, picks out the essentials and prepares a filled-in form that the client confirms by link. The block is in beta and is visible to those who have access.
Updates and link expiry
- The link from the interface works for 30 days after publication. Saving new questions changes the draft; the client keeps seeing the previously published set until the next publication.
- «Publish new version» creates a new link and disables the old one. Copy the new address and pass it to the client. An old form that is already open can no longer send answers.
- «Disable link» stops accepting answers at that address. The answers collected stay in the project. When the link expires, publish the questionnaire again and send the new link.
- A questionnaire has from 1 to 50 questions, and a choice question can have up to 40 different options. Repeating the same request after a network failure does not create a duplicate response.
- The questionnaire and the answers are seen by the project's owners and editors. A visitor with the link gets only the form; other people's answers, the budget and internal materials are not available to them.
- A document made from the «Client brief» template stays an ordinary text document. To collect answers automatically you need the questionnaire in the «Client brief» section of the «Documents» tab.
Client questionnaires on the phone
In the mobile app, open the active project → «Client questionnaires». The owner and an editor can create a questionnaire from six question types: short or long text, number, one or several options, date. Questions can be reordered and made required.
Saving changes the draft. Publishing separately creates a link with a validity of 1 to 365 days. Share it through the phone's system menu. The client answers without registering. A new publication disables the previous link; the collected answers keep the original questions.
After an interrupted sending of an answer, the retry uses the same request and does not create a second answer. With a new publication, the earlier input is kept until you confirm the switch to the new version. An unknown result of creating or publishing a questionnaire is first checked by reading the data.
The client questionnaire collects answers. The text document «Client brief» and the voice brief are separate tools.
