Task templates: save a preparation plan and reuse it
The tasks of a project can be saved as a studio template and added in the next project in a minute with «Templates» → «Add a ready plan». Due dates are recalculated from the event date, and the people responsible are kept as roles.
Reviewed:
Save tasks as a template
- Open the «Tasks» page with the project you need (the «Project:» field) or the «Preparation» step of the project and its «Tasks» card, where the tasks are already collected. Click «Templates» → «Save tasks as a template». The «Templates» menu stands above the list, in the row with the filters and the task view (on a phone these lines are in «⋯»). The line is available to those who can edit, once a project or a list is chosen and has tasks in it; otherwise the line says what is missing: «Choose a project or a list to save its tasks» or «Add tasks first».
- In the «Save tasks as a template» window, enter the «Template name» and, if needed, a «Description» (which events this plan is for).
- In the «Tasks in the template» block, keep the tasks you need checked; «Select all» and «Clear all» check or uncheck them at once.
- Click «Save template». The template appears in «Plan from template» in all of the studio's projects.
Add a plan from a template
- Open the «Tasks» page of the project you need (the «Project:» field or «Preparation» step → «Tasks» card) and click «Templates» → «Add a ready plan». If no project is chosen and you have several lists, the «Which project should it go to?» window asks where to add the tasks. Without the right to edit, the «Templates» menu is not shown and the page says «View only».
- In the «Event preparation plan» window, choose a template: the «Ready-made templates» group has plans for a wedding, a corporate event, setup and teardown, and below it are «My templates» (or «Studio templates» if the project belongs to another studio). The «Template tasks» list shows what will be added and with which deadlines.
- Check the «Date of event»: task deadlines are calculated from it. If the template has no tasks with deadlines, the date is not needed.
- Click «Add the plan to the task list». Existing tasks stay where they are; assign people and adjust the deadlines.
Edit or delete a template
- In the «Event preparation plan» window, choose your template and click «Edit template».
- Change the name, the description and the tasks: «Add a task», «Up» and «Down» for the order, a deadline of «Before the event», «On the event date», «After the event» or «No deadline» with a number of days, and the assignee «Studio owner», a team member's profession or «No assignee». Click «Save template».
- «Delete template» deletes it after confirmation. Tasks already added from it stay in the projects.
Good to know
- A template keeps each task's title, description and checklist, the deadline in days before or after the event, and the assignee's role: the studio owner or a team member's profession. Specific people are not saved in a template, and neither are task statuses, files or comments.
- If the project has no event date, the tasks are saved without deadlines. You can set deadlines in the template later with «Edit template».
- A template belongs to the studio, that is, to the account of the project's owner. For a list outside a project, these are the list owner's templates, and an editor of someone else's list outside a project saves and sees their own templates. Templates are saved and applied by those who can edit task lists there; the studio owner and the template's author can change and delete it.
- A studio can have up to 100 templates of its own, with up to 200 tasks in a template.
- If the template has already been changed in another window, the editor asks you to close it and open the template again so that no edits are lost.
- Task templates are not linked to the saved venues and floor plans (the library's «My templates») or to document templates («Start from a template»).
- These buttons used to be called «Save as template» and «Plan from template»: now both are in the «Templates» menu above the task list. The old names are still found by the help search.
Templates in the app
In the mobile app, open «Tasks» and «Task templates». Choose a list, a ready plan or a studio template, check the event date and confirm adding. Deadlines are calculated relative to this date.
You can save the selected tasks of a list or of the whole project as a template, and change the order, checklists, deadlines and the roles of those responsible. A template does not carry over people's names: participants are matched by role in the new project.
Deleting a template keeps the tasks that were already created. If the reply about applying was lost, use «Check and retry applying»: the app checks the same request without duplicating tasks.
