Access for a specific person

  1. The document's owner opens «Access and publication» → «Email access». Enter the «Account email» and the rights «Read», «Comment» or «Edit».
  2. Click «Create invitation». The system sends an email and shows the link. If the email fails, click «Copy invitation» and pass the link to the recipient.
  3. The recipient must sign in to AURA with that email and open the link within 7 days. The invitation gives access to this document only.
  4. The «Revoke» button next to a person cancels the invitation or direct access. If they also have access through the project team, manage it in the project itself.
  • Only an account with a confirmed email can invite people. If you see «Confirm your e-mail to invite people to your team», open the link from the email or send it again from your profile, in the «Email» card.

The public version

  1. The owner clicks «Publish document», then «Copy» next to the public link. «Open» lets you check the result. There is no need to save first: the latest edits are first saved as a version, and the link opens that version.
  2. The recipient opens the link without signing in to AURA and sees the published snapshot of the document with its version number. Other project materials and new draft edits are not shown.
  3. To update the material for the client, make your edits and click «Publish new version». The current link stays the same, and the content behind it is updated. Autosave alone does not change the public version.
  4. To stop viewing, click «Disable access» and confirm. Publishing again later creates a new link; the old one is not restored.

A client's comment or decision

  1. In the public document, fill in «Your name», choose «Comment», «Approved» or «Changes needed» and click «Send to author». A comment or a change request needs some text.
  2. The team sees the response in the «Discussion» of the original document, together with the version number. If the author has already published a new version, refresh the page before sending a decision.
  • Anyone the public link is passed to can open it. The name in a public response is entered by the visitor; it does not confirm the identity of an account.
  • A reader cannot leave internal comments; a commenter and an editor can discuss and approve the current version. If there are edits after it, the comment first saves them as a new version and refers to it. Access, publishing and deletion are managed by the owner. To delete a document, open it, click «Delete» with the trash icon next to «Save version», then confirm with «Delete permanently». A deleted document cannot be restored.
  • Project members without restrictions to selected options inherit their project rights to documents. Revoking the public link does not cancel their access or separate email invitations.

Approval from the phone

In the mobile app, the document owner manages invitations and a separate public link. An invitation is accepted by a separate action.

  1. In the document, open access and choose a role: reader, commenter or editor. The owner can also set an expiry for the invitation.
  2. Publish the saved version for the client. The link opens a snapshot of the document without internal discussions and the team list.
  3. The client can leave a comment or a decision on the published version. Update the publication explicitly; disabling the link closes the public snapshot.
  • Publishing a document does not open the project and its private files. Revoking the public link does not cancel separate invitations or project rights.
